Your repair information

This notice explains how information submitted through a MyRepairs portal is used. Last updated: 14 September 2026.

Who is responsible for your information?

The landlord or letting agent named on your repairs portal is the data controller. For the Melrose Investments portal, this is Melrose Investments Ltd. MyRepairs is operated by Melrose Development Services Ltd as the service provider. Contact myrepairshelp@gmail.com with privacy questions.

What we collect

We collect your email address, name, telephone number, property address, repair description, access preferences, photographs you choose to provide, and the updates made while the repair is managed.

Why we use it

We use this information to receive, assess, arrange, document and complete repairs; communicate with you; maintain property and tenancy records; and protect people and property. The main lawful bases are performance of the tenancy or related contract, compliance with legal obligations, and legitimate interests in managing and maintaining property safely.

Who can see it

Authorised staff for your landlord or agent can see the repair. An approved tradesperson can see a repair only when it is assigned to them. Technical service providers may process information to host the portal, store photographs, authenticate users and deliver emails. We do not sell your information or use repair reports for advertising.

Photographs and access details

Only upload images that help explain the repair. Avoid including people, identity documents, financial information or unrelated belongings where possible. Submitting access preferences does not itself give anyone permission to enter your home.

How long we keep it

Repair records are kept only for as long as reasonably needed to manage the repair and meet tenancy, accounting, insurance and legal obligations. Records are reviewed when they are no longer operationally required.

Your rights

Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, portability, or object to its use. Contact the email above first. You may also complain to the Information Commissioner’s Office.
